1. Create a unique work order number
Create the work order as soon as the vehicle is accepted.

A multi-location business can include a branch code to make identification easier.
2. Record the customer and vehicle details
Confirm the spelling of the customer’s name, phone number, registration number and VIN.
Do not depend only on information from an earlier visit. Ownership, mileage, contact details and registration data can change.
3. Write the customer’s concern accurately
Ask simple follow-up questions:
When did the issue start?
Does it happen when the vehicle is cold or warm?
Does it happen during braking, acceleration or turning?
Is it constant or occasional?
Were any warning lights visible?
Has another repairer worked on the issue?
Do not add a confirmed diagnosis until the technician has inspected the vehicle.
4. Record the check-in condition
Note existing damage and take photos where appropriate.
Record valuable items only when they are relevant to the workshop’s check-in procedure. Encourage customers to remove unnecessary valuables before leaving the vehicle.
5. Add inspection findings
Write each finding separately.
A useful inspection finding explains:
What was inspected
What condition was found
What action is recommended
How urgent the action is
For example:
Front brake pads measured near the workshop’s replacement limit. Recommend replacement during the current visit. Customer approval required.
This is more useful than writing only:

6. Prepare the estimate
Add the proposed parts, quantities, labor operations, expected hours, taxes and other charges.
Where parts prices or availability are uncertain, identify that clearly rather than presenting an unsupported final amount.
7. Record customer approval
Approval records should show:
Who approved the work
What amount or scope was approved
Date and time
Approval method
Approval reference
Any conditions or spending limits
Approval may be recorded through a signature, email, SMS, WhatsApp message, customer portal or another method accepted in the workshop’s market.

8. Add additional work separately
A customer may approve the original estimate but not additional work discovered later.

Record what was actually used, not only what was originally estimated.
